Client Onboarding: How We’ll Work Together

Starting a new creative partnership should feel clear, structured, and supportive. This page explains how we’ll collaborate from our first conversations through to final handoff. You’ll find an overview of the project shape, the milestones we’ll pass through, how to give feedback that helps us move forward, and what you can expect once everything is complete.

This guide is not a contract or a list of fine print—it’s a working roadmap. It’s here to make sure you always know where we are in the process and what’s coming next.

Project Shape

Every project begins by establishing its shape—what it is and, just as importantly, what it is not. Instead of thinking only about deliverables, we define scope in terms of outcomes. Deliverables are the tangible artifacts that mark progress, but outcomes are the real reason we’re working together.

For example, the outcome might be a clearer brand identity that helps your audience immediately recognize and trust you. It might be a website that guides visitors smoothly to action, or a publishing design that elevates your material into a professional, memorable experience. Outcomes always connect back to the impact you want your project to have in the world.

Framing scope in this way ensures that we’re aligned not just on what gets created, but on why we are creating it. If a detail comes up later in the project, we can measure it against the shape we agreed to. Does it serve the outcome? If yes, we move forward; if not, we set it aside.

In this way, the project shape becomes our compass, keeping us aligned and preventing unnecessary detours.

Timeline by Milestones

We move through projects in a sequence of milestones, not fixed dates. This keeps us adaptable while still giving a sense of order and progress. You’ll always know where we are and what’s next.

Discovery
We begin by listening carefully. Discovery is about gathering context—your goals, your challenges, your audience, and the landscape you’re working within. We’ll ask questions, review existing materials, and look for patterns. The milestone is reached when we have a shared understanding of your needs.

Direction
Here we set the course. Direction translates insights from Discovery into a guiding strategy. We articulate principles, mood, tone, and priorities. It’s not yet about polished visuals but about building the foundation that will support them. The milestone is reached when you feel confident that the direction reflects your voice and goals.

Design
This is where ideas take visible form. Using the agreed direction, we create design explorations that bring the vision to life. You’ll see sketches, drafts, or mockups depending on the type of project. The milestone is reached when we refine the design into a clear, cohesive expression.

Build
Once the design is approved, we shift to building. This could mean developing a website, preparing files for print, or assembling templates and toolkits. It’s a phase of technical focus, translating design decisions into final, functional formats. The milestone is reached when the materials are tested, proofed, and ready for use.

Handoff
The final milestone is transition. We prepare files, organize assets, and ensure you are equipped to take ownership of the finished work. Handoff is not the end of the relationship—it’s the moment where the work moves fully into your hands.

Feedback that Moves Us Forward

Good feedback is the fuel of progress. It keeps projects moving smoothly and prevents unnecessary backtracking. Here are a few guidelines to help make your responses as effective as possible.

How to Respond

  • Be specific: Point to elements you like or would like to see changed.
  • Tie feedback to outcomes: Remind us of your goals so adjustments stay purposeful.
  • Use examples: If a color, tone, or phrasing resonates, share why.

What to Avoid

  • Vague impressions without explanation (“It doesn’t feel right”)—always pair feelings with reasons.
  • Mixing outside opinions without context—colleagues may offer useful perspectives, but weigh them against the project shape we defined.
  • Delays in response—momentum matters, and timely feedback helps us stay on track.

The more clearly you express what’s working and what isn’t, the more efficiently we can refine the project.

Files & Ownership

At handoff, you will receive a carefully organized package of files that allows you to use and manage the work with confidence. While the exact contents depend on the type of project, you can expect the following categories:

  • Final formats: Ready-to-use versions for print, web, or publishing.
  • Editable sources: Master files in standard professional formats, so future adjustments are possible.
  • Supporting assets: Fonts, images, and color references when applicable.
  • Documentation: Notes describing the structure, usage, or organization of the materials.

All files will be transferred digitally, with clear labels and folder structures. Ownership of these files passes fully to you at handoff.

Training & Support

A project doesn’t end with delivery; it ends when you feel comfortable using what we’ve created. To support that, we provide:

One-on-One Training Session
We’ll schedule a live session—usually remote—where we walk through your files and tools step by step. You can ask questions, see demonstrations, and learn the reasoning behind certain decisions. The goal is to make you confident in daily use.

Basic Manual
Alongside the files, you’ll receive a straightforward reference document. This manual covers the essentials:

  • How to apply your visual identity consistently.
  • How to update and maintain your website or digital materials.
  • How to prepare print-ready assets.
  • How to avoid common pitfalls.

It’s written in plain language, not technical jargon, so you can rely on it long after our project concludes.

Ready to Begin

If this approach resonates with you, the next step is simple: reach out and start the conversation. Every project begins with listening, so your first move is to tell us about your goals and the challenges you want to solve.

You can start by exploring our Services, where you’ll see options for Branding, Web + Blog Design, and Print + Digital Publishing. From there, send us a note through our Contact page. We’ll reply with a few questions, suggest a call, and begin shaping the outline of your project.

Partnerships thrive on clarity and trust. By following the framework you’ve just read, we’ll make sure your project not only runs smoothly but also delivers results you can be proud of.

Let’s begin.
